Position Overview
We are seeking a highly organized Executive Assistant to work directly with the CEO. This role serves as the CEO’s operational partner, helping coordinate strategic initiatives, investors, customers, partners, and internal teams.
Key Responsibilities
CEO Office Management
- Manage the CEO’s calendar, meetings, travel arrangements, and priorities.
- Prepare meeting agendas, notes, and follow-up actions.
- Ensure critical tasks are tracked and completed.
Strategic Coordination
- Coordinate cross-functional initiatives across engineering, sales, operations, and finance teams.
- Track company-level OKRs, milestones, and strategic projects.
- Prepare executive reports and dashboards.
Investor & Partner Relations
- Assist in preparing investor materials, presentations, and reports.
- Coordinate meetings with investors, partners, and customers.
- Maintain CRM and relationship tracking.
Business Operations
- Support contract reviews, procurement processes, and administrative workflows.
- Help organize company events, workshops, and executive visits.
- Maintain key business documentation.
Communication & Research
- Conduct market research and competitive analysis.
- Draft emails, presentations, meeting summaries, and business documents.
- Support external communications on behalf of the CEO.
Requirements
- Bachelor’s degree in Business, Economics, Engineering, Finance, or related fields.
- Strong organizational and communication skills.
- Comfortable using AI tools such as ChatGPT, Claude, Gemini, Perplexity, Notion AI, and other productivity assistants to improve work efficiency.
- Excellent written and verbal English.
- Ability to manage multiple priorities under tight deadlines.
- High attention to detail and confidentiality.
Preferred Qualifications
- Experience in startups, technology, robotics, venture capital, consulting, or executive support roles.
- Experience working with investors or international partners.
- Strong PowerPoint, Excel, Notion, and project tracking skills.
